How Small Businesses in Hainan Can Save Costs with Shared Business Address Registration

Hainan is introducing a system where certain shared office spaces, called centralized office zones, can be used by multiple businesses as their officially registered address.

Why Is This Being Done?

The idea is to make it easier for businesses, especially startups or smaller companies, to register their operations without needing their own exclusive address. This is particularly useful in industrial parks or designated areas where space is shared.

How Does It Work?

Designating Areas: Specific locations in industrial parks are identified as “centralized office zones” by government or park management agencies. These areas must meet certain legal requirements.

Filing the Space: Before businesses can register there, the organization managing the space (called an administrative unit) has to file it with the local market supervision department.

This involves submitting documents to prove the space is legitimate, such as:

  • Proof that the space is fixed and permanent (not mobile).
  • Agreements showing how the space can be used by businesses.
  • A formal list of rules for the space’s operation.

Listing the Space:

Once approved, the space gets officially listed on the Hainan government’s website, making it available for use by businesses.

Businesses Registering:

Companies that want to use one of these addresses can select it in an online system called “Hainan e-Registration.” The management organization of the space confirms this registration for the businesses.

Rules to Follow:

Only government-approved centralized office areas can be used for registration. The government will supervise and inspect these spaces to ensure compliance.

Key Benefit:

Businesses don’t need their own physical office. They can share a legitimate address, saving costs and simplifying the registration process.

To access the Hainan e-Registration system, follow these steps:

Visit the Website: Open your browser and go to the official Hainan e-Registration portal: Hainan e-Registration System.

Log In: If you already have an account, you can log in using your credentials.

If you don’t have an account, you’ll need to register first. You can do this directly on the website using Alipay, WeChat or through the Haiyiban (海易办) app.

Use the Haiyiban App for Login: Download the Haiyiban (海易办) app from your app store (available for both Android and iOS). Once installed, you can use the app to scan a QR code on the e-Registration website for quick login.

Complete Registration: If you’re a new user, you’ll need to provide your personal or business details during the registration process. Follow the prompts to complete the setup.
